Your Webvault virtual IP phone system includes voicemail facilities that allow your callers to leave audio messages which can be later retrieved from your telephone handset, or via
email. Voicemail can be activated on a given extension for a personalized mailbox or linked to a group of extensions to provide a centralized mailbox for your business. Calls will
normally be routed to voicemail if the call is not answered during the pre-defined ring tone period.

Section 1.0 Retrieving Voicemail Messages

To retrieve voicemail for your current extension using your telephone handset:

  • If using a Polycom handset, press the messages button to access the voicemail system for the appropriate Line. Alternatively dial 8 and press send or dial on your IP telephone.
  • When Prompted enter your voicemail password and press #.
  • If you have new messages, Press 1 to listen to each message in sequence.
  • After listening to a message press 1 to repeat, or 2 to save the message, 3 to delete, or 4 to forward.
  • After listening to all messages press # to confirm erasing any messages you chose to delete.


To access the voicemail system for another extension or for a centralized mailbox:

  • Dial 08* following by the voicemail extension number, then press send or dial (Eg. 08*19929999 and then dial/send)
  • When Prompted enter the voicemail password for that mailbox number and press #.


Section 2.0 To record a voicemail greeting

For each voice mailbox you can record two separate greetings, a Personal Greeting, or an Alternate Greeting. Before you can configure your voicemail box to play either greeting type
you must record one or both greetings.


To record a voicemail greeting:

  • Access the relevant voice mailbox using the steps outlined in section 1.1 or 1.2. Enter your password and press #.
  • If your voicemail box is empty you will start automatically at the Options Menu. If you have new voicemail messages, press 0 to access the Options Menu or follow the voice
    prompt instructions.
  • Press 1 to access the Greetings and Names options.
  • Press 2 to access the Greetings options.
  • Press 2 to record a new greeting.
  • Press 1 to record a Personal Greeting or Press 2 to record an Alternate Greeting
  • After the tone, record your greeting, when finished Press #. The system will play back your recording, if satisfied Press # to save the recording, or Press * to re-record the greeting.
  • After successfully recording a greeting you will be returned to the main menu, Press 0 for the options menu or just hang-up.
  • After recording a greeting you must complete the instructions in section 3 to select that greeting for your mailbox.


Section 3.0 Changing the Current Voicemail Greeting Type

Your voice mailbox can be configured to use two different recorded greetings, a Personal Greeting, or an Alternate Greeting. You must have recorded a greeting of either type in
order to select that greeting for your mailbox, please refer to section 2.0.

To select or change the current greeting for a voicemail box:

  • Access the relevant voice mailbox using the steps outlined in section 1.1 or 1.2. Enter your password and press #.
  • If your voicemail box is empty you will start automatically at the Options Menu. If you have new voicemail messages, press 0 to access the Options Menu or follow the voice
    prompt instructions.
  • Press 1 to access the Greetings and Names options.
  • Press 2 to access the Greetings options. The system will tell you which greeting type is currently selected (either Personal Greeting or Alternate Greeting).
  • Press 1 to Select a different greeting for your mailbox.
  • Press 1 to Select your Personal Greeting, or Press 2 for the Alternate Greeting
  • The system will play back the selected Greeting. After playback press # to confirm that your mailbox should use that Greeting or press * to cancel.
  • After changing the selected greeting you will be returned to the main menu, press 0 for the options menu or just hang-up.
